ABOUT THE ROLE

We are seeking a senior, PM-level Wedding Project Manager who can independently own the entire wedding journey from A to Z — first client consultation, concept and budget, vendor contracting, timeline management, rehearsal, wedding-day execution, and post-event wrap-up. You will act as the single point of accountability for each wedding, leading internal staff and external vendors to deliver flawless events for local and international couples.

1
Your role & responsibilities
  • End-to-end ownership: plan and deliver complete weddings from initial inquiry to post-event close-out, managing multiple weddings in parallel.
  • Lead client consultations; define concept, theme, scope, and budget; prepare proposals and quotations; close service agreements.
  • Build and manage detailed project plans: master timelines, checklists, budgets, payment schedules, and risk/contingency plans.
  • Source, negotiate with, and manage vendors: venues, catering, florals/decor, photography/videography, makeup & dress, entertainment, MC, transport, and printing.
  • Coordinate the studio’s internal teams (photo, makeup/dress, design) so studio services integrate seamlessly into each wedding.
  • Direct wedding-day operations on site: run-of-show, vendor call times, setup supervision, ceremony cueing, and real-time problem solving.
  • Manage budgets rigorously: track actuals vs. plan, control costs, process vendor payments, and report profitability per project.
  • Handle traditional ceremony elements (Vietnamese and Korean customs) and destination/cross-cultural weddings when required.
  • Build vendor networks and negotiate annual partner rates; maintain a vendor quality scorecard.
  • Lead, train, and develop planning assistants/coordinators; set service standards and SOPs.
  • Own client satisfaction: manage expectations, resolve complaints, and secure reviews and referrals.

Your skills & qualifications

REQUIREMENTS

  • Minimum 7 years of professional experience in wedding planning, event production, or hospitality event management, including full A–Z ownership of weddings or comparable large events.
  • K-wedding experience is MANDATORY: proven track record planning and executing Korean-style (K-wedding) weddings — e.g., weddings for Korean couples, Korean ceremony customs (paebaek and related traditions), K-wedding studio concepts, or K-content-style productions (Korean-style photoshoots, K-drama/K-pop-inspired wedding concepts).
  • Demonstrated track record as project lead — not assistant — on complete weddings/events (portfolio submission is mandatory and MUST include K-wedding / K-content projects).
  • Strong project management fundamentals: scope, timeline, budget, vendor contracts, and risk management.
  • Excellent negotiation and vendor-management skills in the Vietnamese market (HCMC vendor network strongly preferred).
  • Outstanding client-facing communication; composed and decisive under live-event pressure.
  • Proficiency with planning tools (Excel/Google Sheets; project tools such as Notion, Trello, or MS Project a plus).
  • Vietnamese and working English required; Korean is a strong plus.
  • Willingness to work weekends, holidays, and evenings during wedding season; able to travel to venues.

PREFERRED QUALIFICATIONS

  • Work experience in Korea, or with Korean wedding companies/studios; established Korean vendor or community networks in Vietnam.
  • Degree in event management, hospitality, business, or related field.
  • Experience building a planning team or department from early stage.
  • Established relationships with HCMC hotels, venues, and premium vendors.

Shortlisted candidates will complete an interview and a short planning case exercise.
