1. Prepare B/L, Issue and Manage B/L
- Receive shipping instructions from shippers and input information into the job profile.
- Release booking confirmation to customers.
- Create HB/L, Issue draft HB/L and final HB/L.
- Submit FHL/AMS on the airline's system.
- Send shipping advice to overseas agents.
- Send final AWB to customers.
- Coordinate with FAD & BD to push customers/agents to arrange payments promptly.
- Follow instructions from airlines and destinations regarding e-AWB / e-Freight / SA via the system to avoid unexpected fees.
- Arrange fumigation & insurance (if any).
2. Recognize Revenue/Cost of Shipment in System and Collaborate in Billing and Payment
- Recognize revenue/cost of shipments in the system.
- Learn customers’ SOPs.
- Check system data, input charge items, and recognize revenue and cost.
- Post sales invoices, shipping advice, etc., and collaborate on billing and payment.
- Coordinate and manage income and expenses.
- Collect payable invoices, make payment requisitions, get approvals, and submit to FAD.
- Coordinate with FAD to issue invoices and follow up with customers for payment.
3. Handle Incidents
- Check incident reports, make adjustments/additions if necessary, and collect all related documents/evidence from concerned parties.
- Take containment actions and suggest corrective actions. Submit incident reports to Assistant Manager.
- Coordinate with vendors and overseas agents in claim handling.
4. Collaborate in Handling Report Packages
- Export searching files, check and update system inputs.
- Prepare reports as per the report package matrix.
- Review subordinates’ reports and coordinate the reporting tasks of the assigned team.
5. Collaborate in BPM and Workforce Management & Development
- Complete all assigned training courses.
- Participate in coaching: Provide system demonstrations and support staff in operating systems.
- Supervise and monitor daily tasks of the assigned team.
- Conduct monthly workload reviews and propose adjustments to the Assistant Manager if necessary.
- Record KPI results for the assigned team.
- Conduct performance appraisals for individuals/teams as assigned.
