The Senior Manager of Human Resources & Administration is responsible for leading and overseeing all aspects of the HR and Admin-GA Division of the company. This role plays a strategic and operational leadership function, covering key HR domains such as Talent Acquisition, Total Rewards, Performance Management, Labor Relations, Learning & Development, and Succession Planning. On the administrative side, the role encompasses the overall management of office and facilities, documentation, and general affairs.

 

The ideal candidate is a seasoned generalist with deep expertise across both HR and Administration disciplines, capable of driving organizational effectiveness, ensuring compliance, and fostering a high-performance culture. This position also serves as a key liaison with regional and global headquarters (SEOHQ and JPHQ) for all HR and Admin-GA related matters in Vietnam.

Your role & responsibilities

Human Resources (70%):

- Partner with the BOD to design and implement effective organizational structures that enhance efficiency, clarify roles, and support business growth. Lead change management initiatives to ensure smooth transitions.

- Serve as a trusted internal consultant to the BOD, providing data-driven insights and sound recommendations on all people-related matters to support strategic decision-making.

- Proactively identify and resolve workplace conflicts, mediating complex employee relations issues with fairness, discretion, and a focus on preserving a positive work culture.

- Champion the company's next main HR agenda: a comprehensive Training and Development framework. Lead the design and execution of programs focused on upskilling staff, enhancing technical capabilities, and building a robust leadership development pipeline.

- Evaluate and enhance all HR policies, processes, and practices (including talent acquisition, performance management, and total rewards) to ensure they are strategic, compliant, and effective.

- Oversee, mentor, and develop the HR team, empowering them to work proactively and effectively.

- Lead the Succession Planning project to ensure leadership continuity and organizational resilience.

- Drive employee engagement initiatives and foster a positive workplace culture aligned with company values.

- Ensure risk management and compliance in HR operations, including data privacy, labor law adherence, and internal audits.

 

Administration & GA (30%):

- Spearhead the improvement of the working environment to boost productivity, safety, and employee well-being. This includes initiatives related to office layout, facilities, amenities, and HSE (Health, Safety, and Environment) standards.

- Proactively oversee all company activities and administrative functions, anticipating needs and implementing solutions before issues are escalated. Ensure fast and effective action on all operational matters.

- Oversee the management of company assets, legal documentation (including for expatriates), corporate insurance, and company events.

- Review and update administrative policies to improve efficiency, cost-effectiveness, and compliance.

- Manage company legal documents (licenses, certificates, contracts) and ensure timely renewals.

- Act as the primary liaison with SEOHQ (Southeast & Oceania Headquarter) and JPHQ (Japan Headquarter) for all HR and Admin-GA related matters in Vietnam, ensuring timely communication, alignment with regional/global policies, and smooth execution of cross-border initiatives.

- Ensure risk management and compliance in Admin-GA operations, including legal documentation, workplace safety, and internal controls.

- Champion digital transformation in Admin-GA, including systemization of asset tracking, document management, and operational workflows.

Your skills & qualifications

Education and Experience

  • Bachelor’s degree in Transportation University, Foreign Trade University or equivalent.
  • Tertiary qualifications with relevant work experience or knowledge of forwarding, logistics industry processes and practices with a minimum of five (5) years’ experience in the same industry. Experience in working with trucking supplier for cost and procedure.
  • Knowledge of KWE’s products and services is preferred.
  • Experience in using system for bookings, documentation, shipping document insurance, intranet.
  • Experience with all aspects of operation procedures.

 

Required Skills/Abilities:

  • Proficient in PC skills and business systems relevant to the position to enable the identification of operational problems.
  • English at upper intermediate level with 4 skills.
  • Being able to work under high pressure.

Benefits

- Working Place: Bluesky Office, 01 Bach Dang, Tan Son Hoa Ward (formerly Ward 2, Tan Binh District), HCMC

- Working time: 8:00 – 17:35 Monday - Friday (Closed Saturday & Sunday)

- Annual Leave: 12 days/year (after probation time)

- Net salary: Negotiable (13 months a year plus Tet bonus & Annual performance bonus)

- Annual Salary Increase: once per year

- Performance Assessment: twice per year (fixed in April and October)
